# Transcription QA log

This log is separate from the report transcription. It records source issues
and uncertain readings without changing what the report says.

**Rule:** Reproduce the PDF exactly, including mistakes. An issue can be closed
as faithfully transcribed while the apparent source error remains unchanged.
Neither clarification nor arithmetic checks authorize editorial correction of
the published transcription.

## Current review status

- The full first-pass transcription is in the initial HTML, including all
financial tables and chart data. The PDF is optional, not a section substitute.
- Local Windows OCR, manual transcription, and scan comparisons are first-pass
transcription work, not an independent audit.
- Financial figures and calculations are not certified.
- A separate independent audit must compare the entire completed HTML document
with all 50 PDF pages, section by section, including names, dates,
capitalization, punctuation, figures, tables, and graphics.

## QA-001: Welcome letter weekday/date inconsistency

- **Source:** [Original PDF](assets/2026-yafc-annual-report.pdf#page=3),
PDF page 3, unnumbered welcome letter, paragraph requesting candidates for the
  2027 Nominating Committee.
- **HTML location:** [Welcome letter](index.html#welcome-letter).
- **Printed wording:** “Wednesday, November 12”.
- **Observation:** November 12, 2026 falls on a Thursday, not a Wednesday.
The intended deadline is not established by this observation.
- **Required transcription:** Preserve “Wednesday, November 12” exactly.
Do not substitute a different weekday or date or add a correction to the
  report text.
- **Status:** Printed wording preserved in the welcome-letter transcription.
Independent audit must confirm that the printed wording remains unchanged.

## QA-002: Initial framework name misreading corrected against source

- **Source:** PDF page 4, nominees table, Secretary row; PDF pages 6 and 8
  provide additional printed occurrences.
- **HTML location:** [Agenda and nominees](index.html#agenda-nominees).
- **Printed wording:** “Deb Csutoras”.
- **Observation:** The initial framework incorrectly typed “Deb Custoras”.
- **Action:** Changed the transcription to “Deb Csutoras” after comparing the
scan. This corrects a transcription error, not an apparent source error.
- **Status:** First-pass corrected; independent verification required.

## QA-003: Lead Pastor report apparent source wording preserved

- **Source:** PDF pages 19, 21, 24–26.
- **HTML location:** [Lead Pastor](index.html#lead-pastor).
- **Observations and required fidelity checks:**
  - Page 19 opens a quotation at “Every time we’re pushed to our limits” without
an apparent closing quotation mark after “unlimited resources.” Do not add one.
  - Page 21 prints “This fall we moved this fall”; both occurrences remain.
  - Page 24 prints “more that just” and “putting before as we move”; do not
editorially change these to more conventional wording.
  - Page 25 prints “time to a do”, “attending their somewhat regularly”, and
“Elder meeting periodically”; preserve these readings.
  - Page 26 prints “being not just formed by recognizing our gifting”; retain
    “by”, not an inferred “but”.
- **Status:** First-pass scan comparison; independent punctuation, wording, and
  typography review required.

## QA-004: Business text and handwritten signatures

- **Source:** PDF pages 3–10 and 27.
- **HTML locations:** [Welcome](index.html#welcome-letter),
  [Minutes](index.html#meeting-minutes), [Bylaws](index.html#bylaw-changes),
  [Lead Pastor](index.html#lead-pastor).
- **Checks:** Compared the source images with the welcome letter, four-page
minutes, both bylaw pages, agenda table, and nine-page Lead Pastor transcription.
  Every OCR line in PDF pages 19–27 was accounted for in the assembled prose;
isolated bullet-position artifacts were replaced by semantic list markers.
- **Source wording preserved:** The minutes print “negative affects”, “each
another”, “2024 Congregational Meeting Minutes”, and “2 year”; these are not
  silently corrected.
- **Graphics:** Handwritten Brian and Deborah S. Csutoras signatures are cropped
locally and retained with text alternatives; no expanded author name is
  invented from a signature alone.
- **Remaining review:** Independently verify apostrophe/quotation typography,
underlining/emphasis, table blanks, and all names. PDF page 4 also has a tiny
E-like mark between the Governing Board heading and “Bold Type”; determine
during audit whether this is intended text or a print/scan artifact.
- **Status:** First-pass comparison only; not independent audit acceptance.

## Adding findings

Assign a stable QA ID and record the source PDF page, printed page if present,
HTML section, exact source excerpt or cell/column location, observation,
transcription uncertainty if any, required fidelity check, and review status.
Keep financial recalculations and reviewer commentary here, outside the report.
Do not guess at illegible text or certify a reading without source comparison.

## QA-005: Ministry report transcription (PDF pages 28–49)

Scope: PDF pages 28–49, transcribed into the 13 corresponding ministry report
sections in [the HTML document](index.html). The page images were reviewed as the source for the
transcription; OCR was treated only as a draft aid. The following apparent
source issues are preserved verbatim in the HTML and are not editorial fixes.

### Source issues to retain

- **PDF p. 32 — the `elders-governing-board` HTML section:** The citation is
“Lamentations 3:12-24,” while the printed excerpt begins “But this I call to
mind, and therefore I have hope:” (the excerpt begins later in the chapter).
- **PDF p. 43 — the `hanover-resident` HTML section:** The source reads “one of
Hanover Alliance’s contribution to the borough and surrounding area, is to
serve as a gatekeeping/watchman church for Hanover.” The grammar and comma
  placement have been retained.
- **PDF p. 45 — the `finance-committees` HTML section:** The source reads “the
management of expenses were able,” “short fall,” and “As it has and is a
period of significant change.” These forms have been retained.
- **PDF p. 46 — the `trustees` HTML section:** “Finished” is capitalized after a
comma in the spring/summer-work sentence. The source also prints “hand rail”
and “down spout”; these forms have been retained.

### OCR readings corrected against the page images

The following were OCR errors, not source-text corrections: PDF p. 28
“been,” “YAC,” and “CG’s”; p. 30 “years-long”; p. 31 “feels” and
“II Corinthians”; p. 32 “name’s sake”; p. 36 “TLA”; p. 38 “will”;
p. 41 “close its doors”; p. 44 “church’s”; and p. 47 “funerals.”
Handwritten closing names that were legible in the scans are represented as
text: Jonas (p. 38), Jonerik (p. 43), and Nedra (p. 47).

### Verification status

All 22 source-page images (PDF pp. 28–49) were visually reviewed during this
transcription pass, and the section/page mapping and fragment structure were
checked. This is **not** an independent line-by-line audit. No independent
audit of these fragments has been performed.

## QA-006: Financial transcription and arithmetic checks (PDF pages 11–18)

### Scope and method

- Transcribed source PDF pages 11–18 only from the local page scans and OCR drafts. OCR was treated as a draft aid; table rows and values were placed by visually checking the scanned page layouts.
- Page markers in the [financial reports section](index.html#financial-reports) map one-to-one to printed PDF pages 11 through 18.
- Pages 11–12: prose, giving-goal assumptions and estimates, campus-specific explanations, budget proposal summary, and budget highlights.
- Page 13: staffing changes, both finance charts and all chart labels/percentages, and concluding prose. The initial chart crops were subsequently replaced with user-supplied SVGs; see QA-007.
- Page 14: 2026–2027 budget comparison.
- Page 15: campus budget overview.
- Pages 16–17: the two pages of the Statement of Financial Position.
- Page 18: Budget vs. Actuals report.

### Page-specific concerns / source discrepancies

- **Page 11 / giving-goal calculations:** The scanned table uses abbreviations `YAC`, `SGA`, `SAC*`, and `VV**`; the footnotes define the estimate assumptions but do not expand every abbreviation. The source shows blank cells for `VV**` other than the year-end estimate and for the `Total` row other than its final estimate. Those blank cells were retained. The final estimate is printed as `1,607,115` without a currency symbol. The row values and estimate in the source are retained as shown.
- **Pages 11–12 / stated campus giving:** Several figures in the prose differ from nearby tables or from other prose figures (including the York Alliance, Spring Grove and family giving totals). They are transcribed in their source locations without attempting to reconcile them.
- **Page 13 / prose:** The sentence beginning “While the overall budget for the Family of Churches it is not…” is grammatically awkward in the source and was preserved verbatim. The pie chart labels and percentages were transcribed from the scans; the second chart calls the third category `Admin/Buildings/Grounds` and displays 33%.
- **Page 14 / comparison table:** `Total for 440 Church Operations` prints `$1,451,482.25` for 2027. This differs from the campus overview on page 15, which prints `$1,449,482.25`; both source values are retained. Other apparent irregularities in individual percentage or change cells were not recalculated.
- **Page 15 / campus budget:** The printed York General Giving is `1,195,000.00`, while `Total for General Giving` for York is `1,190,445.00`; these distinct source figures are retained. The page also prints the 440 operations total and total expenditures as shown, despite their apparent inconsistency with related table totals. Blank campus cells remain blank.
- **Pages 16–17 / financial position:** The source prints the account label `Net Assets With Donor Restricts`; that wording is retained. Values shown without dollar signs in the detail rows were kept without adding currency symbols; printed total-row currency symbols are preserved.
- **Page 18 / actuals:** The wide report has nested campus column groups. Cells were reconstructed under the corresponding campus and `Actual`, `Budget`, and `Over Budget` headings. The `Unapplied Cash Bill Payment Expenditure` row has sparse displayed zeroes and blank cells; its observed blanks and zeroes were retained. Negative amounts and totals were transcribed rather than recalculated.

### Checks performed

- Opened and visually reviewed the provided scans for each of pages 11–18 and checked OCR text against the visible page content.
- Reconstructed the multi-column financial tables from the scanned row/column positions rather than the OCR's flattened reading order.
- Checked the two chart crops against the source scan; both retain the chart title, legend, and displayed percentages.
- Confirmed the HTML fragment contains page markers 11–18, table captions, column/row headers, and focusable `.table-scroll` regions with caption-based `aria-labelledby` references.
- Confirmed the chart `<img>` paths point to the dedicated local chart assets.

This is a first-pass transcription and structural check, not the separate independent, section-by-section audit required by the repository instructions. The apparent source discrepancies above remain unresolved and should be checked during that audit.

### Arithmetic follow-up (existing HTML values only)

Computed by summing the figures already transcribed in the [financial reports section](index.html#financial-reports); no HTML figures were changed.

- **Page 11, giving-estimate total:** The five printed EOY estimates sum to **1,607,115** (1,089,280 + 241,692 + 108,566 + 37,577 + 130,000). Printed total: **1,607,115**. Difference: **0**.
- **Pages 11–12, campus goals stated in prose:** York Alliance 1,190,000 + Spring Grove 308,750 + Stewartstown 137,400 + Mosaic 33,900 + ValleyView 164,750 + Hanover 33,900 = **1,868,700**. Printed family goal: **1,869,145**. Printed figure exceeds this sum by **445**. This is consistent with the York Alliance prose figure being 445 lower than page 15's York “Total for General Giving” of 1,190,445; no reconciliation was made.
- **Page 15, budget overview giving:** Campus “General Giving” row figures sum to **1,876,600**, matching the printed total. “Online Fees” sum to **-7,455**, matching the printed total. After fees, campus values sum to **1,869,145**, matching the printed “Total for General Giving” total.
- **Page 14, budget comparison totals:** 2026 revenue components sum to **$1,746,900.00**; 2027 surplus, general giving, and other income sum to **$1,972,179.00**. Difference: **$225,279.00**, matching the printed change. 2026 expenditure category totals sum to **$1,746,900.00**; 2027 category totals sum to **$1,972,179.00**; category increases sum to **$225,279.00**. These totals match the printed totals. However, page 14's 430 total (**$339,411.00**) and 440 total (**$1,451,482.25**) differ from page 15's corresponding overview totals (**$341,411.00** and **$1,449,482.25**) by **-$2,000.00** and **+$2,000.00** respectively; their combined amount is unchanged.
- **Page 18, actuals “TOTAL” column:** The transcribed campus actuals sum to the printed total for General Giving (**$994,766.96**), Other Income (**$23,828.67**), Total Income and Gross Profit (**$1,018,595.63** each), 410 Church Life (**$24,117.44**), 420 Church Ministries (**$70,621.25**), 440 Church Operations (**$862,386.37**), Total Expenses (**$1,129,338.13**), Net Operating Income (**-$110,742.50**), subsequent Other Income (**$209,000.00**), Other Expenses (**$247,490.67**), Net Other Income (**-$38,490.67**), and Net Income (**-$149,233.17**). The `430 Church Mission` actuals total **$172,213.07**, matching the printed total when the visually confirmed Mosaic actual of **1,042.60** is included. The existing Mosaic Over Budget cell also prints **1,042.60**.
- **Page 18 table structure:** The HTML has **16 columns**: one row-label column plus five campus/total groups of three (`Actual`, `Budget`, `Over Budget`). The grouped header colspans sum to 16; the table is structurally aligned to that layout.

There are **6 HTML tables** in the fragment.

#### Page 18 cell mapping clarification

Reviewed only the source scan crop covering the `430 Church Mission` row and compared it with the OCR word coordinates for the campus headers and row label. The crop visibly prints `1,042.60` twice in the Mosaic group: once under `Actual` and again under `Over Budget`; the `Budget` position is blank. The OCR extracted the Mosaic group headers and the row label but omitted these numeric tokens in its line records. The HTML row was corrected to reproduce both printed occurrences; this is a source-image correction, not an arithmetic reconciliation.

## QA-007: User-supplied vector chart replacements

- **Source:** PDF page 13; user-supplied SVG artwork on October 21, 2026.
- **HTML location:** [Financial reports](index.html#financial-reports).
- **Action:** Replaced the two scanned chart crops with
  [the finances SVG](assets/finance-chart-budget.svg) and
  [the allocated-salaries SVG](assets/finance-chart-allocated.svg).
- **Fidelity:** Titles, category labels, and displayed percentages remain
unchanged. Existing HTML captions and text alternatives retain all chart
values for readers who cannot see the graphics.
- **Technical adjustment:** Escaped the first supplied SVG's literal ampersands
as `&amp;` for valid XML; this does not change the rendered wording.
- **Status:** User-requested artwork replacement; the independent source audit
  remains required.
